By using our website, submitting a form, requesting a demo, communicating with us, or engaging Radiant RCM for services, you agree to these Terms.
If you are using our website or services on behalf of a medical practice, healthcare provider, company, or organization, you confirm that you have authority to act on behalf of that organization.
About Radiant RCM
Radiant RCM provides healthcare revenue cycle management support, including medical billing services, medical coding services, provider credentialing, denial management, AR follow-up, payment posting, reporting support, revenue cycle consulting, eligibility verification, prior authorization support, and healthcare virtual assistant services.
Our services are designed to support healthcare practices with administrative, billing, coding, payer, credentialing, and revenue cycle workflows.
Radiant RCM does not provide medical treatment, clinical diagnosis, legal advice, tax advice, accounting advice, or financial investment advice.
Use of Our Website
You may use our website for lawful business purposes only.
You agree not to:

- Attempt to access systems without authorization
- Upload harmful code, malware, spam, or abusive content

Do not submit patient information, protected health information, claim files, insurance records, diagnosis details, Social Security numbers, medical record numbers, patient billing records, or other sensitive patient data through public website forms.
If protected health information is required for a contracted service, it must be shared only through approved channels and after appropriate agreements are in place.
SMS Communications
By providing your telephone number and submitting a website form, requesting a demo, contacting Radiant RCM, giving verbal consent, or otherwise opting in to receive text messages, you consent to receive SMS text messages from Radiant RCM.
SMS messages may include:
- Demo scheduling messages
- Appointment confirmations
- Consultation reminders
- Follow-up messages related to your inquiry
- Customer care messages
- Service-related updates
- Account or support communication

Message frequency may vary. Message and data rates may apply.

Consent to receive SMS messages is not a condition of purchasing services from Radiant RCM.
SMS Consent and Mobile Information
Radiant RCM does not sell, rent, trade, or share your mobile phone number, SMS opt-in information, or SMS consent status with third parties or affiliates for their marketing or promotional purposes.
SMS opt-in data and consent cannot be transferred, sold, rented, or reused by another company.
All SMS communications are subject to our Privacy Policy.
SMS Delivery Disclaimer
Radiant RCM does not guarantee that SMS messages will always be delivered without delay or interruption.
SMS delivery may depend on mobile carriers, device settings, network availability, third-party messaging platforms, user opt-out status, and other factors outside our control.
Radiant RCM is not responsible for delayed, blocked, failed, or undelivered SMS messages caused by carrier, network, platform, device, or user-side issues.
No Protected Health Information Through SMS Unless Approved
Unless Radiant RCM has approved a secure communication method under a signed agreement, SMS should not be used to send protected health information, patient records, insurance details, diagnosis details, medical record numbers, claim files, or other sensitive patient data.
Radiant RCM may use SMS for general business communication, demo scheduling, customer care, and service coordination. Any communication involving protected health information must follow approved client workflows, applicable agreements, and required safeguards.
Professional Services
Any professional service relationship between you and Radiant RCM may be governed by a separate proposal, statement of work, service agreement, master service agreement, Business Associate Agreement, or other written contract.
If there is a conflict between these website Terms and a signed agreement, the signed agreement will control for the services covered by that agreement.
Client Responsibilities
Clients are responsible for providing accurate, complete, timely, and authorized information needed for service delivery.
This may include:
- Provider details
- Practice information
- Payer details
- EHR or practice management system access
- Claim records
- Coding documentation
- Credentialing documents
- Insurance information
- Authorization details
- Payment posting details
- Denial records
- AR reports
- Authorized client contacts
Clients are responsible for ensuring that their own systems, documentation, patient notices, payer contracts, clinical records, authorization processes, staff access, and internal compliance procedures meet applicable legal, regulatory, contractual, and payer requirements.
Radiant RCM is not responsible for delays, denials, lost revenue, payer rejections, credentialing delays, compliance concerns, or service limitations caused by incomplete, inaccurate, late, unauthorized, or missing information provided by the client or third parties.
HIPAA and Business Associate Agreements
Radiant RCM may act as a business associate when providing services that involve protected health information.
Where required, Radiant RCM will enter into a Business Associate Agreement before creating, receiving, maintaining, or transmitting protected health information on behalf of a covered entity or another business associate.
Both parties must follow the applicable Business Associate Agreement and use approved methods for handling protected health information.
Access to Client Systems
Some services may require access to client EHR systems, practice management systems, clearinghouses, payer portals, document platforms, reporting tools, billing platforms, or communication systems.
Clients are responsible for providing authorized access and confirming that such access is permitted.
Radiant RCM team members will use client system access only for approved service purposes.
Clients should avoid sharing personal passwords. Where possible, each user should have a unique account with role-based permissions, multi-factor authentication, and audit controls.
No Guarantee of Specific Financial Results
Radiant RCM works to support billing accuracy, claim follow-up, denial management, coding quality, credentialing workflows, revenue cycle visibility, and administrative efficiency.
However, reimbursement outcomes depend on many factors outside our control, including:
- Payer rules
- Provider documentation
- Patient eligibility
- Authorization status
- Coding requirements
- Medical necessity rules
- Contract terms
- Clearinghouse processing
- Payer processing timelines
- Patient responsibility
- Client cooperation
- Accuracy of information provided
- Client system access and workflow limitations
Radiant RCM does not guarantee a specific revenue increase, collection ratio, denial rate, reimbursement amount, payment timeline, payer approval, credentialing approval, or claim outcome unless expressly stated in a signed agreement.
Payments and Fees
Fees, payment schedules, service scope, billing models, and payment terms will be stated in the applicable proposal, invoice, statement of work, or signed agreement.
Unless otherwise agreed in writing, payments are due according to the invoice terms.
Late or missed payments may result in service delays, suspension, or termination.
Confidentiality
Both parties may receive confidential business, financial, technical, operational, healthcare, payer, or service-related information.
Each party agrees to protect confidential information using reasonable care and to use it only for the purpose of the business relationship.
Confidentiality obligations may continue after the service relationship ends.
Intellectual Property
All content on the Radiant RCM website, including text, design, graphics, service descriptions, layouts, branding, icons, logos, and page structure, is owned by Radiant RCM or used with permission.
You may not copy, reproduce, modify, distribute, sell, publish, or create derivative works from our website content without written permission.
Clients retain ownership of their own data, documents, records, and materials provided to Radiant RCM.
Third-Party Tools and Platforms
Radiant RCM services may involve third-party systems such as EHR platforms, practice management systems, clearinghouses, payer portals, analytics tools, communication platforms, SMS platforms, hosting providers, document platforms, and workflow tools.
Radiant RCM may use Zoom or other communication providers to support phone, meeting, SMS, or customer communication workflows.
Radiant RCM is not responsible for outages, errors, data loss, policy changes, pricing changes, security incidents, message delivery failures, or service limitations caused by third-party systems outside our control.
Use of third-party systems may be subject to their own terms, privacy policies, and security practices.

You agree to defend, indemnify, and hold harmless Radiant RCM from claims, losses, damages, liabilities, costs, and expenses arising from:
- Your misuse of the website
- Your violation of these Terms
- False or inaccurate information you provide
- Unauthorized sharing of information
- Your violation of applicable laws or third-party rights
- Client-side system, access, documentation, or compliance issues
- Any use of Radiant RCM services outside the agreed scope
- Any protected health information submitted through unauthorized channels
Suspension or Termination
Radiant RCM may suspend or terminate website access or services if:
- Required information is not provided
- Payment obligations are not met
- Security risks are identified
- There is suspected misuse of systems
- Legal or compliance concerns arise
- A signed agreement permits suspension or termination
Termination does not remove payment obligations for work already performed unless otherwise stated in a signed agreement.

Radiant RCM may update these Terms from time to time.
The updated version will be posted on this page with a revised “Last Updated” date.
Continued use of the website after changes are posted means you accept the updated Terms.
Governing Law
These Terms are governed by the laws of the State of Oklahoma, United States, unless a signed agreement states otherwise or applicable law requires a different approach.
Any disputes will be handled according to the dispute resolution process stated in the applicable signed agreement. If no separate agreement applies, disputes will be handled in the appropriate courts located in Oklahoma, United States, unless applicable law requires otherwise.
